This page will track most of the minor enhancements in the February release. We are putting together this list and should be complete prior to release.

PO Created Date is in the Unreceived and Uninvoiced Orders report.

Quickbooks integration - Delete invoice sync events in the pending queue

All budgets available in My Budgets portlet

Additional fields are available for defaulting on the Purchase Order. For the PO header, you can default supplier custom fields. For PO line, you can default item, contract and commodity custom fields.

On the On-Hand Balances and Inventory Report, you can expose the "Item # (Numeric)" field which will allow you to sort numerically on item number. So, item number "9" would come before item number "11"

On accounting review of expense reports, the reviewer can add a comment to the expenser when he or she clicks "Request More Info"

Expense Processor

People with the Expense Processor role can oversee the flow of expense reports at your company. They can view all expense reports, whether pre-submission, in the approval phase, accounting review or approved for payment. For expense reports pending approval, they can bypass either the next approver or bypass all approvers. In this case, the system notes that the Expense Processor user approved on behalf of.

Accounting Review of Expense Reports

Users with Expense Auditor role work on expense reports in the "Accounting Review" status. Typically, this means verifying receipts, the right billing account, conforms to policy and doing the final audit.

Intelligent Audit Scoring

Coupa assigns an audit score to every expense report. The score is intended to streamline workflow and identify expense reports that are of a higher risk. Many factors are used in the audit score algorithm, including but not limited to:

User's audit score history of past expense reports

Any receipts that are missing

If lines go over the maximum value for the category

If similar expense lines were found for that user in recent history

The system assigns a higher score for ones deemed more risky. Expense Auditors can use the audit score to manage work, including skipping the audit phase for any expense report below a certain audit score. To set this tolerance for when you do audits, admins can do this on the Expense Settings page.

Auditing and approving for payment

Like the Expense Processor, the Expense Auditor can view all expense reports in the system under the Expense Reports and Expense Lines subtab. For expense reports in the Accounting Review state, click the pencil icon to do the audit.

When you audit the report, you can quickly popup all attached receipts for verification. You can set a Review Status for each line. And you can always quickly find all past expense lines from the user. If any accounts/billing information is missing, you can pick the right account.

Once reviewed, you can Approve for Payment, Reject or Request more info from the user by clicking the appropriate button. Once approved, the expense report will be in Approved for Payment status and ready to be integrated to your back-end system (payroll, ERP, etc.) for payment. If you reject, the submitter will be notified and will need to resubmit entirely.

Request more info

When you click "Request more info", the user will be notified that additional information is needed. Perhaps a receipt is missing or a category inappropriately chosen. If the user resubmits and does not increase the value of any lines, the expense report will not need re-approvals by business user and will go right back to "Accounting review" status. Any increase will require full re-approvals.

Integration and APIs

You can take advantage of Coupa's export to Excel or APIs to move data out of Coupa into a 3rd party system. Like all tables in Coupa, you can create your own reports or views of the information that you want to include. Then click the Export to Excel button to retrieve the file. For XML-based integration, use our REST-based APIs. You can learn more about our APIs at http://integrate.coupa.com

Payment info

Once an expense report gets to "Approved for payment" status, additional fields are available to indicated if the report was paid, payment date and any associated notes.

Employees want an easy way to create their expense report. With Coupa, employees can quickly email in any receipt, upload one from their computer or simply type in the details. Once the details are entered, they click Review Report, see the approval path and send it on its way. Approvals are handled via email (including Blackberry, iPhone and any email client) and online in Coupa.

Creating Expense Reports

Emailing in receipts

Any receipt can be emailed into the system as long as it comes from the employee's email address and the user is licensed as an Expense User. The receipt can have an image file (png, jpg, etc.), be an HTML email or even a pdf document. Your Coupa system takes the subject line and the body or attachment to create the expense line. You'll email the following:

To: expenses@[yourcompanysinstancename ie., sears.coupahost.com]

Subject: whatever text you use will become the description in the expense line. NOTE: if you put in a currency symbol and price, then it will recognize that information and use it to be the value of the expense.

Body: Any HTML email or attachments

All emailed-in receipts go directly to your My Receipts portlet on your expense page. You'll add them to your expense report from there.

In the subject of the top receipt (the taxi one), a price of $11.10 was entered. When received by the system, a price of 11.10 USD is placed on the line. The bottom receipt was one where the user didn't want to forget to put an expense for his jan cell bill. The body is blank with no attachments, but serves as a great reminder when he's ready to do his expense report.

Any receipt line in My Receipts can be drag 'n dropped onto the expense report in the box marked "Drag receipts here to create a new line". When you drop in a new receipt, you'll want to make sure you pick the right category and ensure the date, description and price is correct.

Entering in lines

To enter a line manually, click the Add Line button. Enter in all details and if you have a receipt on your computer, you can click the Browse button and pick the file. Click Save to finish entering the line. If you need to edit the line afterwards, just click on the line and it will go into Edit mode.

Submitting expense reports

When you are done, click the Review Report button to see the approval path and then click Submit Report.

Tracking

In your My Account area, you can see all of your expense report history. You can send reminders to approvers for expense reports pending approval, withdraw non-approved expense reports, edit ones in draft mode, etc.

Delegate expense creation

In some companies, an administrative aide may be in charge of creating expense reports for people in his/her department. With Coupa, you assign a delegate. Let's say the VP wants his aide to be the delegate, they'll go into My Account and set that person via the "Delegate Expense Creation" link. For admins, you can also set the delegate on the VP's user record. In this case, the VP has allowed April Dourty to be his delegate.

When April initially creates a new expense report, she'll be able to choose if the report is for her or her VP.

Pre-approved expenses

If you are using Coupa eProcurement and Coupa Expense Management, you can do pre-approval of expenses through the purchase request process and then iBuy It Myself to get the receipt into My Receipts. See the release note February '10: Coupa Expense Management - Pre-Approved Purchases for detailed instructions.

Approving Expense Reports

Approve via email

An approver is notified via email and a To Do notification online. In the approver's email, we show all the key details of the expense report, including the Audit Score. The Audit Score gives approvers a rating on the expense report. The higher the score, the more potential issues there are. To disposition the expense report, either hit reply to the message and type "Approve", "Approved", "Reject" or "Rejected" OR click the Approve / Reject links at the bottom of the email to send back an email.

Approve online

An approver can go online to disposition the expense report. They'll see a To Do notification on the homepage and can click through that to approve/reject the expense report. When reviewing the expense report, the approver can quickly click the link to "See past expense reports" from the submitter. Through this, the approver can make sure that an expense is appropriate. Also, the approver can add any comments when approving / rejecting.

In My Account, approvers can always check and view past expense reports that they've approved.

When used in conjunction with iBuy It Myself, users can get pre-approved for purchases, buy the item and then quickly transfer that pre-approved purchase into a expense report. See the iBuy It Myself release note for more information on how to setup your end-users to be the ones that complete the iBuy process on the supplier's e-commerce site.

At the end of the iBuy, the user goes to the Complete tab to finish the iBuy. If he or she is a licensed Expense User and wants to get reimbursed via an export report, check the box to "Reimburse me for these purchases" and then click the "Mark Order Complete" button.

When the user clicks the button, the system will cancel the existing order with a special status of Expensed. Then it puts the lines of the order into the user's My Receipts portlet on their expense page with all the details so the user can easily get reimbursed.

When an approver replies to an approval request notification via email, the system processes the email looking for the keywords of "approve", "approved", "reject" or "rejected" at the start of the reply. Additionally, it informs you (via an error notification) if your reply can't be processed because it doesn't start with those words.

However, let's say an approver turns on auto-reply for all incoming emails. The case might be that the employee is on vacation and sets an auto-vacation reply. In this situation, the user will get an error notification because of his/her auto-reply.

To avoid confusion with your users, you can now turn off the error notification. To do this, go to the Company Information page and uncheck the following option in the System Options.

If you want to keep the error notification ON, we have improved the text of the error notification. Depending on the case, the user will received one of the two messages below:

To help you quickly identify all requisitions that are awaiting your approval, we've added a new view in your My Account page.

Additionally, we've modified the view in your Inbox page (shows all notifications) where the To Do view will only show notifications where your action is required. This would mostly affect professional users (buyers, admins, accounting supervisors) where they'll see any open To Do that requires their action, plus any approval notifications pending their input.

The accrual report is a very powerful report that gives purchasing and finance professionals a complete picture of receiving and invoice activity related to open purchase orders. We've enhanced the accrual report to expose additional information.

As people leave your company or change groups, it may be necessary to "reassign" the requisition from one user to another. If the requisition has already been ordered, you may assign a new user to be able to receive against the open order. In the February release, we've added the capability for your buyers and admins to change the "Requested By" field on requisitions.

When you pick the new user and click Save, the requisition is reassigned. Based on the current status of the requisition, certain activities will happen:

Requisition was already ordered - The new user will be able to receive and track the order from My Account, just the same as if the order was placed on his/her behalf.

Requisition is in pending approval state - After the current approver dispositions, the system will do its standard re-evaluation of the approvals based on the reassigned user being the Requested By on the requisition.

Requisition is in draft/cart status - The new user will be able to edit the requisition from his/her list of draft requisitions in My Account.

February '10: Reassign Requisitions

    <updated-at type="datetime">2010-01-21T17:05:11-08:00</updated-at>
    <posts type="array"/>

With the popularity growing of iRequest and iBuy, more and more customers are taking advantage of deals offered by e-commerce vendors. Now, customers can choose to let their end-users do the iBuy once their purchase request is approved. Prior to this release, buyers were notified and had to do the iBuy.

To enable your end-users do the iBuy, go to the Company Information page and pick the appropriate setting under the system options. You can have the "Buyers" do iBuy (default), "Requesters" or "Buyers except if specified on the supplier". If you choose the latter, then you'll be able to pick Buyer or Requester on each individual supplier's record. For instance, if you want your Buyers to do all iBuys except at Amazon.com, then you'd select that option and edit the Amazon record to have the iBuy done by Requester.

If the requester will do the iBuy, he or she will get a notification and To Do when the purchase request is approved. They click the Buy Online link and goes through the same process as if the Buyer is completing the order.

When the end-user finishes the buying of the item at the e-commerce site, they'll click the Mark Order Complete button on the Complete tab. This will finalize everything and mark the order as purchased online.

Paying for the Purchases on the E-Commerce Site

When the end-user or buyer actually completes the purchase on the e-commerce site via iBuy, they'll likely have to enter in a credit card as part of the order. With some vendors, you may be able to tell the supplier to invoice you or charge some approved account, but that is usually the minority case.

Depending on your business, your end-user or buyer might either:

Use a company p-card associated with that vendor - In this case, on the supplier record, you'll want to create a p-card and set the default payment method as p-card. All orders will assume that you'll use this method of payment and the user will see the p-card info on the Billing Info tab of the iBuy bar.

Use their own credit card (either company sponsored or personal) - In this case, you'll probably want to set the default payment method as p-card on the supplier record but leave the card number blank since you won't know which one until point of purchase. This will mostly serve to ensure that this order will be purchased with a credit card instead of waiting for an invoice.

If you use Coupa eProcurement and the new Coupa Expense Management module:

With the new Coupa Expense Management module, you can use iRequest, iBuy and Coupa Expense Management to get pre-approval for purchases, buy it quickly and then immediately turn the purchase into an expense report for reimbursement. See the Pre-Approved Purchases with Coupa Expense Management release note for more information.

You can now track the efficiency of the purchasing and payables department via Coupa's FTE (Full-time equivalents) Benchmarking capability. By providing the system how many people are in charge of processing purchase orders and invoices along with their fully-loaded cost, the system can compute a series of new Key Performance Indicators and display them on the Benchmarks page of the Dashboards.

To tell the system how many people are responsible for processing POs and Invoices, go to the Dashboard Controls page. In the purchasing section, fill in the appropriate number of FTEs, their loaded cost and their start date. For their start date, no need to go back before you started to use Coupa. In the example below, the customer started using Coupa on 1/31/09. They had 2 people responsible for processing purchase orders with an average loaded cost of $80,000 per person. For invoicing/payables, they had 1.5 people processing invoices until the start of August. At that point, the number reduced to 1 person with a loaded cost of $62,000.

For Coupa Expense Management customers, similar FTE Benchmarking is available for personnel processing employee expense reports.

Your Coupa Benchmarks are growing with the addition of Coupa Expense Management. Complementing our existing savings, requisition, purchase order and invoice metrics (plus the new FTE Benchmarking), the expense KPIs track usage, cycle times, exceptions and prices in key categories.

A dashboard help link is at the top of the page which gives you more information on how each KPI is calculated. On a nightly basis, we run a series of calculations for each customer in the Benchmarking program and calculate the Coupa Market average which is available daily on your instance usually in the early morning hours Pacific Time.

Note: To ensure the system is calculating Airfare, Hotel and Car Rental values properly, please use the 3 Coupa pre-seeded categories. All other categories can be customized, removed and new ones added as they are not used in the Benchmarking service.

With the inclusion of Coupa Expense Management, your dashboards become a single place to track all of your purchasing and expense spend. Two dashboard pages are enhanced, and you have a new page devoted to Expense Management.

*  Main Dashboard - Enhanced
*  Expense Metrics - New
* Benchmarks - Enhanced (see FTE Benchmarking and Coupa Expense Management - Benchmarking)

Main Dashboard

Your Spend portlet now shows purchases and expenses in a stacked bar chart. By clicking on any part of the chart, you can drill directly down into the purchase orders or expenses in that period. Click the forecast to see a linear regression analysis of your expected breakout between purchases and expenses over the coming 6 months.

Your Savings portlet now takes into account the value created in Coupa Expense Management in the Process Savings and Avoidance buckets. For each expense report, you are assumed to save $25 through the automation/efficiency based on normal analyst benchmarks. You can adjust this value in the Dashboard Controls page. All rejections are tracked in the Avoidance bucket.

Your budgets are impacted by any approved expense reports, similar to the impact of purchase orders and invoices. When an expense report is approved for payment, your budget is decremented. In the budget portlet, you can drill down into the details of all transactions that hit the budget.

Expense Metrics

Your expense metrics dashboard provides a quick, real-time snapshot of expense reports in your system. See how much is being expensed, in what categories, where you have exceptions, who are the top expensers and much more.

Plesase note a dashboard help link is at the top of each page which gives you more information on how each KPI is calculated.

Coupa Expense Management is a new, complementary module to Coupa eProcurement. With Coupa Expense Management, your employees can create expense reports, have the system route the report for business approvals and then have finance (accounting / payables) review the report as a final step.

The ramp-up to using Coupa Expense Management will be extremely quick for existing Coupa customers. All of the users, accounts, budgets, approval workflows, dashboards are extended to support the new module. New Coupa customers can use Quickstart to setup all the purchasing and expense management key features.

For your users who need to submit expense reports, we've focused on making the application as simple as possible. For your managers, approving expense reports is just as easy as purchase requisitions. For accounting, we've put in plenty of controls to ensure proper accounting, auditing and more.

After your company is licensed for Coupa Expense Management (see your Coupa Account Manager for more info), you can pick which users are enabled for the new Coupa Expense module. We've introduced a license type on each user record, and so you can indicate which users can use the eProcurement functions, which ones can use the Expense functions and which users can do both. When editing users via the UI or through the bulk load, you can establish their license restrictions. All existing users prior to the February '10 upgrade will have the Purchasing license.

For each Expense user, you will want to pick one or more of the 3 seeded Coupa roles: Expense User, Expense Processor and Expense Auditor. The Expense User is for people who submit or approve expense reports. The Processor can view expense reports across the company and bypass managerial approvals. The Auditor is the one that does the final financial review.

Key Expense Settings

On the Expense Settings page, you can many of the global settings for your Expense system, including:

To show billing/accounts to your end-users (default = off). To minimize confusion for your end-users, you don't need to have your users fill out the billing account associated with each expense line. You can use Coupa's account defaulting to pick the right account based on certain information about the user (including custom fields) and the expense category on the expense line. Users don't see these fields, except for the Expense Auditors.

Maximum value of expense before a receipt is required. If your company requires receipts for anything over $25 or over $75, set that value here.

Note for missing receipts. A user won't always have an electronic receipt (picture, email, pdf, etc.). Sometimes it's just paper. When a user is submitting an expense report that is missing a receipt by your company's rules, they can see a message which you customize that tells them where they should send the receipt. For instance, "Send any paper receipts to Joe Miles in Accounting"

Accounting review statuses - These are the statuses that Expense Auditors can assign to each expense report line that indicate their review. We've seeded some including "Verified Receipt Online", "Approved Without Receipt", etc.

Categories

You can use Coupa's pre-seeded list of expense categories or use your own. Each category has a series of attributes, including business groups to make the category apply to only certain users. You can also set a limit (such as Meals must be < $25) or the expense will be noted with an over-limit flag.

Account Defaulting

In your Chart of Accounts setting, you have a new area that allows you to define how you want the billing accounts defaulted for each expense report.

Approvals

Like Coupa eProcurement, you can use your management hierarchy and people's approval limits to drive your approvals. You can also create specific approval chains for expense reports. For instance, if an expense report has an expense line with a category of "Entertainment", you might have a specific person or persons that would need to review the report.

Frugal Meter

Coupa's Frugal Meter helps influence your users to spend smarter and save money through helpful reminders when creating expense reports. When a user creates an expense line, the system checks to see if the expense deviates significantly from the average expense for that category. They'll receive positive reinforcement or a gentle warning. You can turn off/on the Frugal Meter by expense category.

Custom Fields

You can use Coupa's custom fields creator to generate custom fields (including setting attributes) on your expense report header and expense lines.

There are two views in the accrual report now. One is received and uninvoiced which are issued purchase orders that have been received but not fully invoiced. The other is all open orders which are issued purchase orders that have not been fully received.

Internet Explorer 6, released in 2001, will no longer be supported after the October '09 release. Some functionality will not work correctly on IE6 in future releases, so all IE users should upgrade to either IE7, released in 2006, newly released IE8 or Firefox.

As many of you know, IE6 has significant number unique and nonstandard characteristics that slow the software development and quality assurance processes. Moving to a browser that supports common HTML standards will benefit you and the Coupa customer community.

October '09: Table Improvements

    <updated-at type="datetime">2009-09-10T12:01:23-07:00</updated-at>
    <posts type="array"/>

Major advancements to extend and configure Coupa for your needs is now available through custom fields capability.

Custom Fields Creator

From the Setup tab, you'll click Custom Fields to enter and manage the custom fields on your system. At this point, you'll see a drag and drop editor. The first step is to pick the object or transaction that you want to customize. You can customize requisitions, purchase orders, invoices, receipts, suppliers, users, items, contracts, departments and commodities. Below is an example of customizing the requisition transaction.

You are able to create new custom fields by dragging a field type from the big yellow box on the right into the yellow boxes on the left. The left yellow boxes are the "target" region where it says "Drop custom fields here".. On requisitions, purchase orders and invoices, there are yellow regions at both the "header" level and the "line" level, while other objects have a single region to add custom fields. You can add up to 20 custom fields in a region, although we highly recommend that you use far fewer for high usability and fast performance. Within the region, you can change the order of custom fields by dragging the custom field to the right position.

Custom Field Types

Coupa supports 9 different custom field type. Each type has its own set of attributes that you can control.

Text field

Text box

Number

Date

Drop-down or list of values

Radio group

Single check box

Attachment

Descriptive text (non-editable text field)

When you drop a custom field type into the yellow region, the attributes window opens up immediately. For a text field, you can control the prompt, the field name, the number of characters (min and max), what it defaults from, if it is active, if it is required, if it is editable, and a hint value that will display below the entry field. Here's an example:

Since this is a requisition header custom field, it will show up on the checkout page for the end user. Here's how it will look. Notice the asterisk indicating the field is required.

Attributes

The field name is a technical way to access the custom field, used in APIs and the customizable liquid template for purchase orders.

An uneditable field is display only for all users.

A required field is necessary when creating or editing the object.

"Defaults from" allows you to set what value is initially set. The most common defaults from will be that a purchase order custom field will be defaulted from a requisition custom field OR a requisition custom field will be defaulted from a user custom field. Important: please note that the defaulting gets set immediately and only when the object is created. So, if you set a requisition line custom field to be set based on the commodiity custom field, it will typically be blank. That's because the commodity on a requisition line is usually not set when the requisition line is created.

"Copy to" allows you to copy the attributes of a custom field from one transaction to a custom field on a downstream transaction. When it does this, it also sets the "Defaults from" of downstream custom field to come from the upstream custom field. In the example, if you copied this Planning Code cusotm field from the requisition header to the Order Header, a custom field of Planning Code will be created on the Purchase Order document. The Planning Code on the order will be defaulted from the Planning Code on the requisition. So when a requisition is approved turned into a purchase order, the Order's Planning Code is set based on the Requisition's Planning Code. Here are the allowable "copy to"''s:

Requisition Header -- Order Header and Order Line

Requisition Line -- Order Line

Order Header - Receipt, Invoice Header, Invoice Line

Order Line - Receipt, Invoice Line

And other attributes are either dependent on the field type or the transaction/object. For instance, with a drop-down custom field, you specify the allowable values. With a number custom field, you can specify the min and max value.

Modifying Standard Fields

You can modify attributes of certain standard fields on transactions (requisitions, POs, Invoices and receipts). A standard field is a Coupa-defined field, such as Department or Need By Date on a requisition. Depnding on the field, you'll be able to modify the prompt name, if active and/or if required. If the field is marked inactive, then it will not appear on the base entry form. Please note that not all of the fields on a transaction can be modified, including the prompt name. In the custom fields creator, you will see which fields you can modify at this time.

In this example, we've turned off (made inactive) several standard Coupa requisition line fields such as need by date, supplier part number, attachments, supplier ratings and compare prices. We've also changed the prompt name of Supplier to VENDOR, Payment Terms to Terms, and Shipping Terms to SHIP METHOD. If you mark a standard field as required, you won't be able to submit/save the object without entering a value. For instance, if you make a requisition header standard field such as Justification as required, all users must enter a justification for their requisition to be submitted.

You can use the customization capability to ensure that supplier, billing account and shipping address are required. This will prevent requisitions from going to buyer action because the user simply forgot to enter the values. Of course, if marked required, the user will have to enter some value in order to submit the requisition.

You cannot customize the Coupa standard field on objects: suppliers, users, commodities, departments, contracts, items. You can only add custom fields.

Customizing Requisitions

You can add custom fields to the objects and transactions listed previously. In this initial release, we have made the requisition be the most customizable transaction from a Coupa standard field perspective. In other words, more standard fields are configurable on a requisition than a purchase order or invoice.

Some things to be aware of when customizing requisitions:

Custom attachments can only be added at the requisition header

We highly recommend that you limit requisition line custom fields to 4 or fewer for usability and performance.

Customizing Purchase Orders

With custom fields on a purchase order, you can set additional attributes.

Causes revisio: If the field is edited, a PO revision is created and issued to the supplier

Supplier viewable: If the supplier logs into the CSN to view their purchase order, they can see this field

Supplier editable: If the supplier logs into the CSN, they can modify the field.

An exmaple of something that you might want to make supplier editable is creating a custom field is a shipment tracking number. The supplier can log into CSN and update a shipment tracking number on a PO.

Customizing Invoices

With custom fields on a invoice, you can set additional attributes.

Supplier viewable: If the supplier logs into the CSN to view their invoices they can see this field.

Supplier editable: If the supplier logs into the CSN, they can modify the field.

Customizing Suppliers, Users, Departments, Commodities, Items and Contracts

You can only add custom fields to these objects. You cannot modify Coupa standard fields at this time.

Reporting, Custom Views, PO Customization, Bulk Loaders and APIs

The custom fields that you create are available to you in other parts of the application.

Reporting: Each of these new fields will be available when you
create custom views, such as on the Purchase Orders table, Invoices
table, etc. See example of the Requisitions table with the custom field of Planning Code.

You'll be able to expose the purchase order custom fields, in most cases, on your custom PO via the liquid template. See the documentation in the Customer Forum - Customized PO Gallery for more info.

Your bulk loaders, such as the user uploader/supplier
uploader/etc., will work with the new custom fields. For instance if
you created the Region custom field on a user, you can load the
appropriate values using the user bulkloader. The attributes of the custom fields will be respected in the loaders, so If you mark those fields as required, they will be required in the loader. If a custom text field can only be 4 characters, then it must be only 4 characters in the bulk loader.

Coupa's APIs will expose these custom fields. Where you can
create/modify objects (e.g., supplier), you can post values into those
custom fields. Where you can grab transactions (e.g., show the latest
purchase orders), the custom fields on the transaction will be exposed. See the planning code exposed via the requisitions API.

Migration of Existing Custom Fields

If you have existing custom fields, they will all be seamlessly
migrated as part of the release and no action is required on your part. They will be created as text fields on the approrpriate object.

Available in All Editions

The homepage that all your users see when logging into Coupa has been greatly enhanced in this release. Search has become the focus of the page, your users should adjust quickly because of the similarity to Google.

Search

Your search will include results from the following areas:

How to buy policies - Policies will show up based on the policy name, commodity or tag

Free form lines - You can also enter a free-form request line if the item or service you are searching for is not listed in the search result

Punchout sites - Punchout sites will appear if the search matches their tags, supplier name, description or URL

Forms - Forms will be listed if their name or tag is searched

Catalog items - The first five catalog items appear as they did before, you can see all by clicking the Show All link

iRequest sites - Coupa will search the web for the best deals on items that match your search.

To Do

Your five most recent to dos appear with more detail in this release. You can get more information as well as take action with less clicks than before.
Now you can mark any to do item as done by clicking the checkbox, items that you take action on will automatically be marked as done.

Featured iRequest Sites

Administrators and buyers can configure different sites to appear on their users homepages. If a site is added that doesn't have a corresponding supplier the supplier will be created automatically.

Recent Orders

Your five most recent orders appear in this area. They are grouped by the orders in the last week, last month and older orders. You can receive, copy or edit orders based on their status.

Budgets

The budgets that were displayed on your homepage if you are a budget owner now have a graph. You can still add alerts by hovering over the budget amount on the right.

Cart

The cart has moved to a menu on the top of every page so it can be accessed from anywhere in Coupa. You can go to edit cart by clicking on the cart menu, or by clicking the edit cart button in the menu. Whenever you add an item to the cart it will flash.

Commodities & Tags

The commodity and tag boxes that used to appear on the right side of the homepage are now in the subtabs on the homepage.

There are 2 new capabilities on invoices, negative quantities for credit memos and credit memo invoice tolerances.

Negative Quantities for Credit Memos

Previously, credit memos that were backed by quantity-based purchase orders had to be entered with a positive value for quantity and negative value for price (e.g., 3 Each @ -45 USD). You can now enter negative quantities which will keep your accrual report and qty-based invoice tolerances consistent. To give an example:

1. You created your first invoice for 10 @ 45 USD

2. You create a credit memo invoice for -3 @ 45 USD

At this point, the quantity invoiced for this purchase order is 7.

Credit Memo Invoice Tolerances

Previously, all invoices that had a negative total (ie., credit memos) were automatically put on-hold. We've added an option in your invoice tolerances setup where you can specify the minimum value at which the system can automatically approve these credit memos.

In the screenshot, the new invoice tolerances (one for internally created invoices and one for supplier-created invoices) are circled in red. In this case, if the credit memo is for more than 50 USD, then it will go on-hold. But if the credit memo is less than 50 USD, then it can be automatically approved assuming it meets all other tolerance and matching checks. The default value will be blank or 0, which means that all credit memos will continue to go on-hold unless you change this value.
